Archives Manager


TITLE:  Archives Manager                                                                  DEPT: Maine Folklife
REPORTS TO:  Director                                                                      DATE:  November 2011

Purpose:  Curating analog and digital recordings, photographs and documents in the Northeast Archives of Folklore and Oral History.  The Primary responsibility of this position is to prepare audio materials for digitization and to digitize photographs and documents following best practices set forth by the Library of Congress.

Essential Duties & Responsibilities:
  • The Archives Manager will communicate daily with the Director of the Maine Folklife Center at the University of Maine and weekly with the archivist at the American Folklife Center throughout the digitization process.   

A. Audio/ Curating analog and digital materials in the Northeast Archives of Folklore and Oral History
·         Selecting and entering information into html database
·         Checking all database entries for accuracy
·         Working with audio preservation contractor
·         Overseeing packaging and shipping of audio materials to contractor
·         Preparing metadata information for contractor
·         Checking digitized sound files and metadata for compliance with LOC preservation standards
B. Photographs/ Curating photographs and digital copies in the Northeast Archives of Folklore and Oral History
·         Selecting and entering information into html database
·         Checking all database entries for accuracy
·         Overseeing scanning of photographs
·         Checking metadata
·         Preparing and shipping hard drives with photo scans and database to LOC
C. Documents/ Curating documents and digital copies in the Northeast Archives of Folklore and Oral History
·         Selecting and entering information into html database
·         Checking accession numbers and descriptions for accuracy
·         Setting up scanning procedures and metadata procedures for staff
·         Overseeing the scanning of transcripts and other documents
·         Selecting documents that need special care and treatment
·         Setting up copy stand work and over see photography of select documents
·         Preparing all digital files on hard drives, back up copies and ship hard drives to LOC
·         Performing other reasonably related duties as assigned

Knowledge & Skill Qualifications: 
·         Master’s Degree in Folklore, American Studies or Ethnomusicology and Archival Science
·         Knowledge of digital audio/photo/document preservation best practices
·         Preferable 2 or more years of experience with digital audio/photo/document preservation best practices
  • Strong attention to detail and ability to effectively prioritize work
·         Strong oral and written communication skills are essential

Supervision: students

Work Environment:  Office based position located in South Stevens Hall

Work Year: Fiscal

Work Schedule:   Normal University of Maine business hours are Monday through Friday 8:00 a.m. to 4:30 p.m.  Due to the nature of the position, work beyond regular hours (to include evenings and weekends) will be necessary to meet the requirements of the position.  The employee shall establish regular office hours and in consultation with the supervisor, adjust the work schedule as appropriate.

Position Type: Full-time, one year fixed length, and subject to successful job performance. 

Schedule for Evaluation: In Accordance with UMPSA Agreement.

The University of Maine, Maine Folklife Center is seeking a qualified candidate to fill a professional position for curating analog and digital recordings, photographs and documents in the Northeast Archives of Folklore and Oral History. This is full-time, one year fixed length position.
