Description

The position reports directly to the Chief Librarian, Queens College Libraries (consisting of the Benjamin S. Rosenthal Library, Art Library, and Music Library), providing executive and administrative support of the activities of the Library Administrative Office. The Specialist works directly with Library department heads and Library faculty and staff to ensure the smooth and efficient operation of the Office. The position serves as main administrative liaison for the Chief Librarian and external College, University, and community constituents. Oversees and coordinates the activities of Office staff in the preparation of paperwork and other activities related to management of the Library's Adjunct and Temporary Services budget; preparation of materials for faculty reappointment, tenure, promotion and evaluation; the preparation of periodic Library reports and surveys; management of special Library functions and programs; coordinates the gathering and distribution of information related to the Libraries' hours of operation; creation and maintenance of files, records, correspondence, travel authorizations, vouchers and other related paperwork; supervision of faculty carrels located in the Library; monitor the physical plant operation and maintenance issues of the Libraries; and other duties as assigned.
Duties
- Provides administrative and program support to an administrative or academic department.

- Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications.

- Works with appropriate offices related to personnel recruitment, expediting search activities

- Research coordinates and organizes materials for key events such as promotion and tenure reviews.

- Supervises and trains support staff and student workers.

- Manages budget and coordinates purchasing, accounting, and payroll.

- Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules.

- Performs related duties as assigned.

Qualifications
Minimum
Bachelor's Degree and four years' relevant experience required.

Preferred
Knowledge of general budgeting management and experience with the policies and procedures of the City University of New York (CUNY) is strongly preferred.
